Terms and conditions
of entry

Everyone taking part agrees to the following before being allowed to start. In addition, every competitor must complete the online competitor information and medical declaration form, including details of their compulsory insurance, and submit a copy of that insurance.

What you are agreeing to

  1. Race rules

    I agree to abide by the race rules and regulations as stipulated in the pre-race information.

  2. The terrain and its risks

    I accept that it is my responsibility to be aware of the terrain and the unique requirements of the event. I am fully aware that participating in the Fire + Ice Ultra, Iceland’s toughest footrace, carries a potential risk of injury.

  3. Specific risks

    I accept that participating may involve risks including but not limited to: dehydration, hyponatraemia, altitude sickness, sun or heat stroke, exhaustion, frostbite, hypothermia, wild animals, objects and obstructions, vehicles, inclines and declines, lack of communication, failure of personal equipment, the risk of getting lost, and the possibility of personal injury, mental trauma and death.

  4. Unforeseen hazards

    I am aware that although the organisers have carried out a full risk assessment of the event, the route and all logistics, there may be additional or unforeseeable hazards not listed above.

  5. Remoteness and self-sufficiency

    I accept that the Fire + Ice Ultra takes place in a remote part of Iceland where normal facilities are unlikely to be available. I acknowledge that I am expected to possess outdoor survival skills — familiarity with outdoor gear, backpacking and basic navigation — and that I will at all times carry the minimum items on the compulsory kit list, in the correct specification.

  6. Waiver

    I waive, release and discharge, for myself and my successors, any and all rights and claims against the race organisers, the promoter and any promoting organisations and their directors, property owners, law enforcement agencies, public entities and their agents, officials and employees, for any damages sustained through my participation in or association with the event, or travel to or from it.

  7. Stopping when told

    I understand that situations can arise beyond the control of the organisers, officials, medical volunteers and crew, and that if such a situation arises I must not continue, so as not to endanger myself or others.

  8. My equipment

    I accept responsibility for the condition and adequacy of my equipment, and agree I will not exchange or leave out any item after my kit check.

  9. Fitness and preparation

    I acknowledge that the event is physically demanding and that there are medical and physical risks. I am solely responsible for my own training and preparation, and by applying I confirm that I am physically capable of competing. I have no physical or mental condition which, to my knowledge, would endanger myself or others or interfere with my ability to participate. If in any doubt, I will contact my GP and the race medical team.

  10. Medication and inoculations

    I am responsible for obtaining and taking all necessary inoculations and medications relevant to travelling in Iceland, and for carrying any personal medication throughout the event. The medical team will not, and is not liable to, supply personal medication a competitor has failed to carry.

  11. Medical decisions

    The event has a professional medical team for its duration. I give permission to medical staff to make decisions about my care and treatment and, where necessary, to authorise treatment in an emergency. Staff will make every reasonable effort to reach my emergency contact. If I become lost, the organisers reserve the right to wait 24 hours before contacting my emergency contact while detailed information is gathered; after 24 hours my emergency contact will be contacted regardless.

  12. Evacuation

    I acknowledge that the event operates in a very remote location which may not be supported by local hospitals, that transport to the nearest hospital may take several hours or longer, and that the course may pass through terrain where evacuation is seriously delayed or in some cases unavailable.

  13. Binding agreement

    I agree, for myself and my successors, that these terms are contractually binding and not mere recitals. Should any claim be asserted in contravention of this agreement, I or my successors will be liable for the expenses (including legal fees) incurred by the other party in defending it, unless that party is finally adjudged liable for wilful or wanton negligence. This agreement may not be modified orally, and a waiver of any provision is not a modification of, or consent to waive, any other.

  14. Insurance

    I agree to provide my own insurance, which is compulsory, covering at minimum evacuation, medical and travel costs, cancellation, and any instance that prevents me taking part. It will be valid for Iceland and for the race. See compulsory insurance.

  15. Data

    My privacy and submitted data will never be shared with third parties except where races are in partnership. Event partners will only see race application data. By taking part I agree to my race application data being shared with the race partner(s).

  16. Images

    I agree that my name, voice or picture may be used by the race organisers and their affiliates for future promotional purposes.

Payment terms, race fees and additional costs

We recommend paying race fees and flights by credit card, to protect yourself against event cancellation or non-attendance through injury, missed flights, lost luggage, natural disasters or any other reason.

A non-refundable deposit is payable on registration. A further part payment of £400 is due by 1 March of the year you are taking part, and the remaining balance by the end of June that year. You may pay in multiples of £100 at any time before those dates. If payment is not received before the race start the organisers may withdraw you from the race and are not liable for any resulting costs.

We do not store card details and do not share customer details with third parties other than our working partners.

Guaranteed place. As soon as the organisers receive your deposit you have a guaranteed place on your chosen event.

Race place transfer. In extraordinary circumstances you may not be able to fulfil your place. Before the 90-days-to-race-date mark you can transfer on two occasions only; transfer to a later year is possible with a £50 administration fee. After the 90-day mark, costs depend on amounts already paid or committed on your behalf and can be advised on enquiry. Full detail on deferring or withdrawing your place.

Our right to withdraw a place. Adventure Resources reserves the right to withdraw the offer of a place for any reason at any time. In that case we will refund the entry fee in full. We are not responsible for any other costs — including flights, hotels, insurance and visas.

Extra costs. Adventure Resources is not responsible for extra costs incurred by anyone taking part, including cancelled or delayed flights, or transfers outside the set schedule.

Changes to the event. Fire + Ice Ultra (Adventure Resources) reserves the right to modify the event format; change the dates; change the location, within the planned country or to a new one; cancel the event before the official start; or cancel it after it has started. If we modify the event for any reason we have no obligation to reimburse the entry fee.
